1. General information

These general terms and conditions are an integral part of the course offers and any agreement for the provision of services concluded by Kiddy & Junior Classes, asbl, having its registered office at Rue de l'Industrie 40, 1000 Brussels, Belgium.

The client declares having read and agreed the general conditions and accepts all the clauses at the moment of enrolment.

2. Price and discount

2.1 Price

The prices for the school year and school holiday courses, language camps, mentioned on the website www.kiddyclasses.net at the time of enrolment, will be applied.

The prices exclude VAT. VAT is not applicable for the asbl, Kiddy & Junior Classes.

Kiddy & Junior Classes reserves the right to modify the website and brochure prices as well as general terms and sales conditions without prior notice.

2.2 Discount

When doing the enrolment through the website, select the discount* applicable to your case and indicate "brother and sister" or "company name" in the remarks:

  • - 5% for siblings (enrolment sent the same day)
  • - 5% (for Action Sport members)
  • -10% (for hospital staff)

* Discounts cannot be accumulated; the best discount will be applied.

2.3 Promotion

Take advantage of our occasional promotions by consulting our website, our social networks and/or by receiving our newsletter. The following conditions are applied to the promotions:

  • Promotional offers are not retroactive. The "promo code" needs to be mentioned when enrolling, the time linked to the promotion needs to be respected.
  • Discounts and promotions cannot be accumulated; the best deal will be applied.

3. Enrolment

3.1 General information

All the course enrolments on the Kiddy & Junior Classes website are considered firm and definitive after reception and acceptance by Kiddy & Junior Classes, regardless a partial or the full payment of the course.

The enrolment can be made through the www.kiddyclasses.net website, by telephone or by e-mail.

After the enrolment is accepted you will receive an e-mail of confirmation with detailed practical information on the chosen course and a reminder of the general terms and sales conditions.

At the enrolment time, the client accepts to provide the strict necessary information needed for the smooth development of the course.

For a last-minute enrolment, please contact our customer service on +32 (0)2 218 39 20 to query on remaining places in the groups corresponding to the language level of your child for the requested period.

If the desired course is not available, our staff will propose you other options taking into according to your criteria and our possibilities.

3.2 Tax certification

For fully paid courses, a certificate for tax purposes will be sent by email at the end of the course.
This certificate must be attached to your annual tax return in order to obtain a tax deduction.
Please keep it carefully. No duplicata will be issued.
It will also be available online via the MyIclub platform.

3.3 Health insurance form

In order to benefit from the advantages of your health insurance company, please send us your form by e-mail or by post.
We will send it back to you at the end of the course, after the reception of the full payment.

4. Payment

4.1 Payment period

The payment of the enrolment fee is due immediately at the reception of the confirmation email sent by Kiddy & Junior Classes.

For school year courses, holiday courses and private lessons enrolments:

  • Full payment at the reception of the confirmation e-mail is due.

For La Panne and Nieuport camps enrolments:

  • An account of 150€ must be paid on reception of the confirmation.
  • The balance is due within 30 working days before the first day of the camp.

Kiddy & Junior Classes doesn’t confirm any payment reception. Your account statements serve as proof of payment.

4.2 Methods of payment

Payment by bank transfer is highly desirable according to current health measures.

Bank transfers are to be made to the following bank account:

  • IBAN: BE44 0689 3583 8445 - BIC : GKCCBEBB

Sport and culture vouchers are to be sent by post to:

  • Kiddy & Junior Classes Rue de France 103 - 1070 Brussels
  • With the following information: Your full contact details, the first name and the last name of your child and the dates of the chosen course.

No confirmation of payment reception is sent, only reminders for outstanding amounts are sent by email.

4.3 Invoice request

Please provide Kiddy & Junior Classes with the necessary information for the requested invoice: First and last name, Company name and address, VAT number.

For any invoice in the name of a company, in the absence of payment within 20 working days after the invoice has been issued, parents are personally responsible for the payment of the courses.

4.4 Payment reminder

 Every payment reminder will be increased by the following administrative fees:

  • fixed indemnity of 50 €.
  • + interest on arrears of 1% per month, i.e. 12% per year.

5. Cancellation

Cancellations must be made by e-mail or in written form and take effect on the day on which the request of cancellation was made.

5.1 Cancellation | non-residential holiday courses

Cancellation for medical reasons
Refund for not attended days is applied only and strictly under presentation of a medical certificate.

Cancellation for personal reasons
Administrative fees:

  • more than 20 working days (Monday-Friday) before the beginning of the course: 0 €.
  • from 20 to 3 working days (Monday-Friday) before the beginning of the course: 25€.
  • less than 3 working days (Monday-Friday) before the beginning of the course or during the course: the entire price is due.

5.2 Cancellation | holiday camps in La Panne, Nieuport

Cancellation for personal or medical reasons
Administrative fees :

  • more than 20 working days (Monday-Friday) before the starting date: 80 €.
  • 20 to 10 working days (Monday-Friday) before the starting date: 120 €.
  • less than 10 working days (Monday-Friday) before the starting date of during the camp: the entire price is due.

5.3 Cancellation | Language learning stays abroad

You will receive the conditions and practical information in the enrolment folder.

5.4 Cancellation | group classes during the school year

Cancellation for personal or medical reasons
Administrative fees:

  • for all the enrolments made and confirmed by Kiddy & Junior Classes, more than 20 working days before the starting date of the course: 0€.
  • for all the enrolments made and confirmed by Kiddy & Junior Classes, 20 to 10 working days before the starting date of the course: 50€.
  • for all the enrolments made and confirmed by Kiddy & Junior Classes, from 9 to 1 working day before the starting date of the course: 75€.
  • for all the enrolments during the school year partially or fully paid: refund by Kiddy & Junior Classes of the difference between the amount paid by the client and the sum including the fixed compensation of 75€ + the calculation of the sessions fees from the first date of the course up to the date of the cancellation request issued by the client.
  • for all the enrolments made during the school year which are unpaid: the client must immediately pay the amount including: the fixed compensation of 75€ + the calculation of the sessions fees from the date of the beginning of the course until the date of the cancellation request made by the client.

5.5 Cancellation | private lessons

Cancellation for personal or medical reasons
Administrative fees:

  • for all the enrolments made, quotation signed by the client and confirmed by Kiddy & Junior Classes, more than 20 working days before the starting date: 0€.
  • for all the enrolments made, quotation signed by the client and confirmed by Kiddy & Junior Classes, 20 to 10 working days before the starting date: 50€.
  • for all the enrolments made, quotation signed by the client and confirmed by Kiddy & Junior Classes, 9 to 1 working day before the starting date: 75€.
  • for any ongoing lessons already fully or partially paid: refund by Kiddy & Junior Classes of the difference between the amount paid by the client and the sum comprising the fixed compensation of 75€ + the calculation of the sessions fees from the date of the first lesson up to the date of the cancellation request issued by the client.
  • for any ongoing unpaid lessons: the client has to proceed to the immediate payment including: the fixed compensation of 75€ + the calculation of the fees for the sessions from the first date of the lessons until the date of the cancellation request issued by the client.

5.6 Cancellation by Kiddy & Junior Classes

Kiddy & Junior Classes reserves the right to cancel a holiday course/camp or group course during the school year due to insufficient number of 6 participants per group.

We will always propose different alternatives to the initial request in order to welcome your child. If no other proposal is suitable, you will receive a full refund.

Kiddy & Junior Classes reserves the right to cancel all training due to force majeure of type, health crisis.

6. Refund

Requests must be made by e-mail or by registered letter, and take effect on the date of issue of the request.

The refund will be made according to the general conditions in paragraph 5 of this document and only if the payment has been fully or partially executed before the request for cancellation.

In the case of total or partial refund on a foreign bank account, in agreement with the general conditions of paragraph 5 of this document, any bank transaction fees applicable will be fully charged to the client.

In case of non-payment of the course before the cancellation request, administrative fees will be charged to the client according to the general conditions of paragraph 5 of this document.

7. Complaint

Any customer complaint has to be sent by e-mail or registered letter and issued as soon as possible during the course period. For a good management of the complaint, the information should be detailed and accurate.

Our customer service department will process your complaint within 24 hours, during working days (Monday to Friday), if the complaint is made during the ongoing course. Our team will do the best to bring a satisfactory solution.

If the complaint cannot be made during the ongoing course, please submit it in writing within 5 working days after the end of the course. Our customer service will deal with it at the shortest possible delay.

8. General Data Protection Regulation (GDPR) policy

8.1 Purpose of data

We record your personal data in order to be able to ensure the administrative, financial and operational follow-up of your enrolments to our courses, camps, events, sessions or infrastructure bookings …

8.2 Length of time that we keep the personal data

Personal data is kept for 3 years and it may be consulted by our secretary office, the Kiddy iclub administrative managers and the staff who supervises the activities you have enrolled your child for.

8.3 The right to access your personal data

According to the GDPR law, you can access and get your personal data rectified by logging on to your MyiClub space or by contacting the secretarial services during office hours.

8.4 How to withdraw your consent

If you wish to withdraw your consent for the use of your personal or any of your family members’ data (whose data is accessible in your MyiClub account), it is enough to edit the data of the person concerned and click on: I withdraw my consent

For any ongoing course, your consent must be validated so that your child's data can be processed, see paragraph 7.1 of this document.

8.5 Disclosure of the personal data to third parties

The personal data provided will not be disclosed to third parties.

They are communicated only within the framework of the course/camp, to supervisors, teachers, partners of the activities chosen by the participant.

8.6 Our data protection officer

If you have any questions regarding the protection of your personal data and your rights related to such data, please contact our data protection policy manager: M. Hakan Erbas at info@kiddyclasses.net.

9. Insurance

The Kiddy & Junior Classes insurance covers any accident that may happen during the activities, for the health care provided in hospitals and clinics under agreement in Belgium exclusively.

10. Respect and ethics

10.1 General information

For the well-being of all participants, teachers, coordinators and the smooth running of the course in a respectful and pleasant atmosphere, we ask each participant to behave respectfully towards everyone.

10.2 Respect for the equipment

Any damage to the equipment or premises made available by Kiddy & Junior Classes in the context of the various courses will be paid for by the legal responsible of the negligent person.

10.3 Use of the mobile phone

The use of the mobile phone is strictly forbidden for the good development and guarantee of quality during the course. Limited use of the mobile phone is only allowed during the lunch break without exception.

10.4 Exclusion of a participant

Kiddy & Junior Classes reserves the right to exclude a participant, if it appears that his/her behaviour is detrimental to the smooth running of the course or the well-being of the group despite the advice of our coordination team or if the participant does not respect the general conditions.

Detailed explanations will be provided to parents.

No refund of the followed course will be made in case of exclusion.

The eventual costs of returning the participant (during camp or abroad language course) will be charged to the client.

11. Responsibility

Our language centre is committed to provide all the necessary means to achieve the language learning goals of each participant during his or her training. However, the participant alone is responsible for his/her results at the end of the training followed in our centre.

12. Photos, videos, testimonials

We take photos and make videos during the courses and workshops that we organize. This material can be used for commercial purposes on our various promotional media (our website, social networks, brochures).

Please notify the management or the person in charge of the course in writing if you do not wish your child to appear in pictures or videos and change your personal data protection preferences in Myiclub.
